William Clarence Education Ltd is the controller of your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
This policy explains what personal data we collect, why we collect it, how we use it, and what rights you have. It applies to visitors to our website, subscribers to our newsletters and magazine, people who contact us, and contributors.
2. What we collect
We only collect information that is relevant to what we are doing with you. This may include:
- Contact details: your name, job title, organisation, industry and email address, and postal address where relevant.
- Enquiries: the content of any message you send through our contact form or by email.
- Subscriptions: the details you provide when signing up to our newsletter or to receive the magazine.
- Contributor information: your biography, photograph and any article or material you submit for publication.
- Website usage data: your IP address, browser and device type, the pages you visit and how you move around the site, collected through cookies and analytics tools (see section 7).
Information about children. Our website is written for adults and is not aimed at children. Please do not include the names or personal details of children, or information about a child’s needs or health, in messages to us. If you do, we will use it only to respond to you and will delete it when we no longer need it.
3. Why we use your data, and our legal basis
| What we do | Legal basis |
|---|---|
| Send newsletters and magazine updates you have asked for | Consent |
| Respond to enquiries and requests | Legitimate interests (running the publication and answering questions) |
| Publish and manage contributor content | Contract, or legitimate interests |
| Understand how the website is used and improve it | Consent (for analytics cookies) |
| Keep records and meet legal obligations | Legal obligation |
| Keep the website secure and prevent misuse | Legitimate interests |
Where we rely on consent, you can withdraw it at any time (see section 11).
4. Who we share your data with
We do not sell your personal data. We share it only with:
- Service providers who process data on our behalf under contract, including SiteGround, Google Analytics, and our email platform HubSpot which store subscriber data.
- Our sister publications within the same organisation.
- Commercial partners, but only where you have specifically agreed in advance, for example by registering for a webinar hosted with a partner. The partner may then contact you about that event.
- Authorities or advisers where we are legally required to, or need to protect our legal rights.
5. International transfers
Some of our providers, including Google, may process data outside the UK. Where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, or an adequacy decision such as the UK-US data bridge.
6. How long we keep your data
We keep personal data only for as long as we need it for the purpose we collected it:
- Subscribers: until you unsubscribe. We then keep a minimal record of your email address so we do not contact you again.
- Enquiries: 12 months after the matter is resolved, unless we need to keep them longer for legal reasons.
- Contributors: for as long as your content is published, and 6 years afterwards for records.
- Analytics data: 14 months.
7. Cookies
Our website uses cookies and similar technologies.
- Strictly necessary cookies keep the site working and are always on.
- Analytics cookies (such as Google Analytics) tell us which pages are visited and how the site is used, so we can improve it. We only set these if you consent through our cookie banner.
Blocking non-essential cookies will not stop you using the site.
8. Unsubscribing
You can unsubscribe at any time using the link at the bottom of any email we send. Unsubscribing from one mailing does not unsubscribe you from others, so if you want to stop all email from us, please contact us directly.
9. Security
We hold your information securely and limit access to those who need it. No online system is completely secure, but we take reasonable technical and organisational steps to protect your data.
10. Links to other sites
Our articles and pages may link to other websites. We are not responsible for their privacy practices, so please read their policies.
11. Your rights
You have the right to:
- ask for a copy of the personal data we hold about you (a subject access request)
- ask us to correct inaccurate data
- ask us to delete your data
- ask us to restrict how we use your data
- object to processing based on legitimate interests
- withdraw consent at any time, where we rely on it
- receive your data in a portable format, where applicable
To exercise any of these rights, contact us using the details below. We will respond within one month.
If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to put things right first.
12. Changes to this policy
